Boston Children’s Chorus harnesses the power of music to connect our city’s diverse communities, cultivate empathy and inspire social inquiry. Children, ages 7–18, come together across differences of race, religion, and socioeconomic status in a celebration of shared humanity and love of music. We focus on the energy at the intersection of the many different identities represented across BCC singers. JOB SUMMARY AND RESPONSIBILITIES:

Administrative Duties:   

  • Track and organize BCC’s student database, providing reports for demographics and singer trends  
  • Follow up with families for outstanding tuition payments via phone and email  
  • Reorganize and maintain Google Drive files and Asana project boards  
  • Track student tuition and other fees using an online system  
  • Provide weekly tuition reconciliation reports to the finance and accounting team  
  • Contribute to quarterly program reports for BCC's Board of Directors at the request of the Associate Director of Choirs 
  • Other administrative duties as assigned by the Associate Director of Choirs   

Programming Support: 

  • Assign and manage parent volunteers for major concerts; create schedules for volunteers, communicate with volunteers on dress rehearsal/concert days via email and phone, lead volunteers on tours of concert venues and assign additional duties as needed, be the main point of contact for parent volunteers at concerts  
  • Support production staff at concerts by managing singers backstage, communicating with artistic staff, liaise between production and artistic staff if needed  
  • Order and organize supplies for concerts  
  • Assist Associate Director of Choirs and Producer in creating schedules for retreats and tours, communicating with vendors or performance organizers, disseminating communications to parents and singers, creating and collecting registration forms, ordering supplies needed for retreats and tours, assisting to run logistics while on retreats and tours  
  • Other duties as assigned by the Associate Director of Choirs  

Singer and Parent Engagement: 

  • Develop strong relationships with BCC children and families and provide appropriate support for singers experiencing difficulties  
  • Craft weekly electronic communication with families  
  • Create, organize, and disseminate all performance logistics information packets to singers and families prior to a concert, hired performance, or excursion  
  • Collaborate with the Associate Director of Choirs, Music Director, and Managing Director to develop a parent ambassador program 
  • Other duties as assigned by the Associate Director of Choirs  

Recruitment and Auditions: 

  • Track and report on audition results in the database and communicate results to artistic staff  
  • Maintain communication with prospective families, assist in registration, and follow up with newly joined singers  
  • Compile and organize end-of-year evaluation materials and placements for mass mailing  
  • Other duties as assigned by the Associate Director of Choirs   

SKILLS AND QUALIFICATIONS:

  • Exceptional attention to detail 
  • Strong organizational and time management skills 
  • Demonstrated passion for working with a diverse group of youth and families 
  • Ability to work as a member of a team, as well as lead teams of children/youth, volunteers, and peers 
  • The right candidate will be a capable, independent worker with a strong entrepreneurial spirit, and the ability to work in a fast-paced, changing environment 
  • Strong interpersonal and communication skills, especially public speaking, presentation, and written skills; strong administrative and computer skills required 
  • Proven ability to successfully manage multiple aspects of large projects 
  • Knowledge of child development, and group leadership a plus 
  • Working knowledge of the Boston community or education system is a plus 
  • Knowledge of Excel, Microsoft Word, and Constant Contact 

COMPENSATION  

Salary for the role of Program Coordinator at Boston Children’s Chorus is $45,000 annually. BCC offers a competitive benefit package including health insurance, 403(b) employer contributions, generous PTO, short-term disability, and more.
